Screens should automatically lock after 5-10 minutes of inactivity to prevent unauthorized access.
Employees must not share accounts, usernames, or passwords. Every user should have a unique login for accountability.
BYOD (Bring Your Own Device) policies should be in place to ensure secure access to company data on employee devices.
Use MDM (Mobile Device Management) to enforce security controls.
Immediate access revocation for terminated employees. Accounts should be disabled the moment employment ends to prevent unauthorized access.
Lack of centralized user management is a major security risk. Use Active Directory (AD) or a proper IAM (Identity Access Management) system for efficient control.
Never use non-encrypted email services like Gmail.com or Outlook.com for sending patient information. Instead, use HIPAA-compliant email encryption solutions.
Do not send PHI (Protected Health Information) over text messages, iMessage, WhatsApp, or Facebook Messenger. These are NOT HIPAA compliant. Use approved, encrypted messaging platforms.
All backups must be encrypted to protect sensitive data. Plain-text backups are a major compliance violation.
Ransomware protection is critical. Have a strong disaster recovery plan in place and implement immutable backups.
Guest Wi-Fi must be fully isolated from internal business and medical networks. Patients and visitors should never be able to access sensitive internal systems.
